Understanding Files, Folders and File Explorer

Files and folders are the basic structure used to store and organise work on a computer. A file contains information, while a folder is a location used to group files and other folders. Understanding where something is saved is essential because a document can appear in Recent, Downloads, OneDrive or a shortcut without actually being stored in the place you think it is

Saving Files and Using Save as

Saving stores the changes made to a file, while Save As is normally used when you need a new filename, a different storage location or a separate copy. Before closing important work, confirm both the filename and the location because a successfully saved document can still be difficult to find if it was stored in Downloads, a temporary folder or the wrong cloud account

File Security, Confidential Documents and Safe Sharing

File security is not only an IT responsibility. Anyone who creates, downloads, moves, shares or deletes workplace files can accidentally expose information if the wrong location, recipient or permission is used. Confidential documents should remain in approved systems with access limited to authorised people, while suspicious files or accidental disclosures should be reported through the organisation's security or data-protection process.
